Donor Database Management Systems:

Finding ways to efficiently manage growing lists of active and prospective donors has been a longstanding challenge to nonprofit organizations. Until recently, there have been only three options.

OPTION I - Manual Lists: The advent of the personal computer has rendered this age-old option nearly extinct.

OPTION II - Computer Spreadsheets: Here, donor names and addresses are maintained on a simple Excel or Lotus spreadsheet. While effective in recording data and producing exportable data fields for merged letters, this flat-file system does not lend itself easily to sorting donor lists by multiple characteristics, e.g., vendors who gave last year.

OPTION III - Professional Site-based Donor Management Software: Professionally designed site-based fundraising programs have been the mainstay option for sophisticated fundraisers for nearly two decades. While this option is far more powerful than the other two options, it:

(1) is costly to implement ($6,000 and up for most stand-alone programs and significant investment required for add-on module,

(2) requires extensive training to use effectively,

(3) and is accessible from a single computer or local area network only.

Robert J. Miller & Associates, Inc. is pleased to announce its recent affiliation with the provider of next generation donor database software. This web-based software brings donor database management into the 21st century.

Why?

1. Costs: There is NO software to purchase. Being web-based, all of the necessary software is provided at no cost from the webserver.   This software manages your first 500 donor records for free. As your donor list builds, a modest monthly user fee will be charged.

2. Training:  It offers a convenient four-part on-line training program to get you underway fast.  Training is augmented by full-time telephone support.

3. Access: Unlike site-based software, your password protected donor database is accessible from any computer having access to the web.

Unique Features

~ Electronic Fundraising: You can send your donors an unlimited number of e-newsletters, fundraising appeal letters, and event registration forms. You can also receive credit card gifts via the web.

~ Direct Mail: You are linked directly with a professional letter-shop that can quickly print and mail conventional mail solicitations.

~ Donor Prospect Research: You can link directly with powerful donor research engines that instantly search all public records for essential financial information about your donors.

~ Importing Existing Donor Records: You can import your file of existing donor records directly into your database.

~ Adding to Your Donor Database: You can enable your staff, board members, and volunteers to enter the names and addresses of their personal contacts directly into your database from their own home or office computers.

~ Donor Data Security: Your donor records belong to your organization and ONLY your organization..

~ Loss Protection: Since your donor records are maintained offsite on multiple webservers, you do not have to worry about backing up your donor files.

~ Ultimate Portability: You and anybody you authorize can enter your database from any computer in the world having access to the web. You can download your entire database to your local storage with a single keystroke.

~ No Risk: Since the program requires no special computer or software investment, there is no risk in giving it a try. If you like it, continue. If you do not, simply download whatever data you have stored and try another approach.

Consummate Management Information Tool

This program is a fully functioning relational database system that enables you to create unlimited numbers of queries. You can sort your donor list by whatever multiple characteristics you desire. For example, you can compare this year’s total giving with each previous year giving by, for example, vendors, or staff, or volunteers.

The strength of any nonprofit organization lies in its people. From board members to customers (students, patients, visitors), having detailed records on all of your people in a manageable database represents pure gold from a development standpoint.

Having manageable records makes it easy to communicate with your people. Effective communications enables you to cultivate new donors and to create larger donors. Frequent donor communications builds awareness of your mission and commitment to your goals.
